Description:The Administrative Associate will provide high-level support by performing routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers. This position will assist the Director of Marketing and Communications and other member of the Marketing and Communications team as requested. This is an entry-level position.
Duties:-Manages Director of Marketing and Communications' calendar and correspondence;

-Screens incoming calls and correspondence for Director and responds independently when possible;

-Organizes meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget;

-Schedules appointments, plans departmental meetings and retreats;

-Prepares agendas and materials for meetings;

-Records and prepares minutes and distributes reports;

-Reviews incoming correspondence including email, interoffice and postal service mail addressed to the Director, and follows-up on items that need personal attention;

-Makes copies and assemble packets;

-Establishes priorities and tracks responses to ensure adequate timely responses;

-Prepares the Director's weekly and monthly expense reports, purchasing card reconciliations, and invoice approvals;

-Maintains a high level of confidentiality with all areas of the job (internal and external);

-Other projects as assigned.
Qualifications:-High school diploma or GED required; Associate's degree preferred. Minimum of one year in an administrative role. Will consider a combination of education and experience.

-Proficient with Microsoft Office suite used for word processing, spreadsheets, and email required.

-Strong time management and implementation skills are required.

-Must possess a strong focus on details and accuracy of work.

-Knowledge of Blackbaud CRM or other database management system(s) a plus.

-Excellent oral, written and interpersonal skills to communicate and work effectively within a diverse community.

-Ability to take direction and feedback from supervisor.

-Ability to maintain confidential information in discreet manner.
